Hello All,

The purpose of this email is to remind partners that certain housekeeping tasks need to be performed in STARtracks in preparation for FY21 reporting.  STARtracks Coordinators are asked to coordinate this effort, which includes the following:

• Updating Staff:
• Add new SNAP-Ed and Non-SNAP-Ed staff who will deliver programming in FY21
• Deactivate staff who will no longer deliver SNAP-Ed programming
• Update returning staff, if needed, including names, titles, and location assignments.

• Updating Users:
• Add new users who will need access to STARtracks for FY21
• Deactivate users who have left your organization or no longer perform STARtracks-related tasks
• Update returning users, if needed, including access levels, email addresses, and passwords

• Preparing FY21 Approved Locations for Data Entry:
• For audiences using demographic defaults, update default values before reporting new participants for FY21.  This includes settings where preschool or schoolage participants are served and school settings where adult audiences are served.  
• For audiences not using demographic defaults, you can opt-out of defaults, if desired.  This can help you track which sites are ready for data entry and which ones need further attention.
• If your organization uses Programs in STARtracks to group similar entries, assign new audiences to programs and confirm that returning audiences are assigned to the correct program.  Contact the STARtracks Help Desk if you need to add new programs or deactivate existing programs.

Staff and users can be updated at any time.  Approved locations can be updated beginning October 29, when STARtracks is back online for administrative updates.  For assistance in performing these housekeeping tasks, we encourage you to watch the training video entitled STARtracks-Performing Administrative Tasks.
